Dispatch options

Overview

You can find this area when you open a mailing template and scroll to the dispatch options. Here you configure when and how emails should be sent, which recipients should be targeted, and you can send test emails. Recipient filters are explained separately.

Edit dispatch options

  1. Open a mailing template.
  2. Scroll to the dispatch options.
  3. Change the settings you want to update.
  4. Click "Save" (bottom right in blue).

Fields

Dispatch type

You can choose between three dispatch types:

  1. Manual
    No automatic dispatch takes place.
    • Use this when you only want to send the mailing manually, e.g. via "Send mail to contact".
    • No scheduled times or patterns are evaluated.
  2. Single timestamps
    Here you schedule one or more send waves at fixed times.
    • You can configure multiple timestamps in the event’s time zone (e.g. 01.05. 10:00, 03.05. 18:00).
    • Invitation times are rounded to the next full hour (see UI hint).
    • The mail server checks hourly whether a timestamp falls within the current hour window and then automatically sends the mailing to all recipients that match the recipient filters.
  3. Recurring dispatch
    Here you define a recurring pattern, such as "weekdays at 10am".
    • You define a start and optional end time. Automatic sending only occurs within this interval.
    • Use weekdays to decide on which days to send (e.g. daily, Monday–Friday, or a custom combination).
    • Use times to specify at what times on those days mails are sent (e.g. hourly, only business hours 9–17, mornings, or a fixed time).
    • The mail server checks hourly in the event’s time zone whether current time and weekday match the pattern and then automatically sends to all recipients matching the recipient filters.

Send test email

  1. Fill in placeholder values for the test (e.g. name, email address).
  2. Enter the email address to which the test email should be sent.
  3. Click "Send test email".
  4. The test email is sent to that address so you can check how the email looks.

Send to contact

You can send the email directly to a specific contact without saving the template. This is useful for testing or for sending to individual contacts. The preselected placeholders are automatically correct for this contact and usually should not be overridden.

Usage

With dispatch options you can precisely control when and to whom emails are sent. You can define automatic send times, define the target group via filters and send test emails to ensure everything works correctly.
Important: When copying mailing templates, the dispatch options are copied as well.
