Check‑in lists

Overview

Check‑in lists define which participants are eligible for check‑in and under which rules they can be checked in.
You can create multiple lists per ticketing (e.g. for different areas, products or test lists) and check participants in and out either by scanning or manually.

Functions

Create a check‑in list

  1. Open a ticketing and go to Check‑in lists.
  2. Click “New check‑in list” or “Create first list”.
  3. Enter a list name (this is shown in the check‑in app).
  4. Configure the settings (products, multiple entries, unpaid orders, etc.).
  5. Save the list.

Edit a check‑in list

  1. Click a list in the overview.
  2. Click “Edit”.
  3. Adjust the settings and save.

Check participants in or out

  1. Open a check‑in list.
  2. Click “Scan” to open the ticket scanner (scan QR code or enter ticket code).
  3. Alternatively, use the “Manual check‑in” table to check participants in or out with a click.

Statistics and detail view

In the detail view of a list you see:

  • Eligible: Number of people eligible for this list.
  • Checked in: Number of check‑ins so far.
  • Inside: People currently checked in (without exit).
  • Progress: Share of checked‑in people relative to all eligible orders.

For test lists or lists without statistics, corresponding hints are shown.

Fields of a check‑in list

  1. List name: Name of the list (shown in the check‑in app).
  2. Internal reference: Optional internal label.
  3. Allow multiple entries: Allows multiple check‑ins without an exit in between.
  4. Allow entry after exit: Allows re‑entry after a previous check‑out.
  5. Include not fully paid orders: Allows check‑in for participants whose orders are still pending payment.
  6. This is a test list: Marks the list as a test list (e.g. for dry runs).
  7. Include all products: If active, all products in the ticketing are eligible; if inactive, only selected products.
  8. Assigned products: For limited lists, defines which products / tickets are eligible for this check‑in list.
  9. Ignore in statistics: Check‑ins from this list are excluded from statistics.
  10. Consider tickets used: Tickets are treated as “used” after check‑in.

Fields in manual check‑in

In the “Manual check‑in” table, each row (per ticket) shows, among other things:

  1. First name: First name of the ticket holder.
  2. Last name: Last name of the ticket holder.
  3. Product: Purchased product / ticket (e.g. “Conference ticket”, “VIP ticket”).
  4. Item note: Check‑in note for the individual ticket item (optional).
  5. Order note: Check‑in note for the entire order (optional).
  6. Check‑ins: Overview of previous entries and exits.
  7. Actions: Buttons to check in and check out.

Usage

Check‑in lists are useful for:

  • Separate areas: Different lists for different rooms or areas.
  • Product‑specific access: Lists that only apply to certain ticket types (e.g. VIP).
  • Test lists: Dry runs without affecting official statistics.
  • Flexible rules: Multiple entries or re‑entry after exit depending on requirements.
