Sent emails

Overview

Under Mailings → Sent emails you see all emails sent for this event — not only invitations but also reminders, info mails, and other event mailings.

With restricted lead access a notice appears that not all sent emails may be visible (only emails for leads you may see).

Note: Scheduled dispatch at full hours

If automatic dispatch is scheduled for a full hour (dispatch options — e.g. 10:00), the following applies:

  • Dispatch does not start exactly at :00 but within the 30 minutes after (e.g. between 10:00 and 10:30).
  • Emails are sent gradually, not all at once.
  • They therefore appear one by one in this list — right after the scheduled hour the list is often still incomplete.

After a scheduled dispatch, wait a bit or reload the page before assuming something failed. Scheduled times are rounded to full hours in the UI anyway.

Overview list

The list is sorted by Sent at descending by default. Columns:

  • Recipient email
  • Sent at
  • Subject
  • Sender name
  • Sender email
  • Opens (count)
  • First opened at

There is no “Recipient name” column — the name may appear in the email itself or on the assigned lead in the detail view.

Search

The search bar searches simultaneously:

  • Subject
  • Recipient email
  • Sender name
  • Sender email

Filter

Via Filter you can narrow further (each “contains” / “does not contain”):

  • Recipient email
  • Subject
  • Sender name
  • Sender email

Not available in the current UI: filter by Sent at or Invitation template (mailing template).

Email details

  1. Click a row in the list.
  2. On the left you see the email preview (HTML and plain text) and attachments (if any).
  3. On the right dispatch metadata:
    • To, From (name + email), Subject, Sent at
    • Opens with timestamps (very fast opens shortly after send are marked as possible bot hint)
    • Link clicks with time, link type, and URL
  4. Below the Lead section (if the email is bound to a lead):
    • Involved contacts (with role)
    • User roles (organization members on the lead)
    • Lead description

Without lead assignment it says “No lead information available”.

Usage

  • After dispatch runs or scheduled mailings, check whether emails arrived.
  • Evaluate opens and link clicks (e.g. missing reaction after reminder).
  • Find individual recipients or subjects via filter or search.
  • For support cases use the detail view to trace content and lead context.
