Contacts submodule
Overview
You can find this area by opening the contact module and then the contacts submodule. You can also open it by clicking on contacts in the left sidebar within the contact module. In this area you can create and edit contacts. These can be used across the entire organization.
Features
Contacts overview
In the overview, you can see all contacts of the organization at a glance. You see the most important information such as name, email address, title and arrival as well as the creation date. You can search all contacts in the organization using the search bar.
Create contacts
- Click the large plus icon at the top right.
- Enter a name for the contact (first name and/or last name).
- Click "Save" (bottom right in blue).
Edit contacts
- Click the icon to the left of the respective contact name.
- Change the information you want to update.
- Click "Save" (bottom right in blue).
Delete contacts
- Click the icon to the left of the respective contact name.
- Click "Delete" (bottom right in red).
- Confirm by clicking "Delete" in the dialog (black field with blue border).
Import and export of contacts
These features are currently in development and will be available soon.
Fields
- First name: The contact's first name.
- Last name: The contact's last name.
- Title: The contact's title (e.g. Dr, Prof).
- Salutation: The salutation for the contact (e.g. Mr, Ms).
- Artist name: The contact's artist name, if applicable.
- Comment: A comment or note about the contact (free text).
- Priority: The priority of the contact (values: Unimportant, Standard, Important, Very important).
- Responsible: The person in your organization who is responsible for this contact.
- Biography: A biography or description of the contact.
- Position / Company: Here you can assign one or more positions and companies. These must be created beforehand in the Institutions submodule.
- Contact details: Contact details such as email addresses, phone numbers, socials and website can be managed here. Note: All field labels (e.g. Website) except the primary email address and primary phone number can be edited.
- Addresses: Here you can store one or more addresses for the contact, including address name, street, house number, postal code, city and country.
- Images: Here you can upload and manage images of the contact.
Usage
With the contacts area, you can centrally manage all your contacts. You can create and edit contacts and enrich them with additional information such as positions, contact details, addresses and images. Contacts can be used throughout the entire organization and form the basis for many other functions in the system.
